    1. Who We Are

    Rutledge Group ("we", "our", "us") is a recruitment agency and training provider registered in Northern Ireland. Our head office is at Rutledge House, 25-27 New Row, Coleraine, BT52 1AD. We are the data controller for the purposes of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

    2. Data Protection Officer

    We have appointed a Data Protection Officer (DPO) to oversee our data protection practices and ensure compliance with UK GDPR. Our DPO is Catriona Reid. You can contact the DPO directly about any data-protection matter at creid@rutledgegroup.co.uk.

    3. What Data We Collect

    We may collect the following personal data: name, email address, phone number, postal address, CV and work history, qualifications, National Insurance number (where required for employment), date of birth, Access NI status, NISCC registration details, IP address, and cookie data.

    4. How We Use Your Data

    We use your data for: recruitment and employment placement services, training administration and certification, legal and regulatory obligations, marketing communications (only with your explicit consent), and improving our services.

    5. Legal Basis

    We process your data under the following UK GDPR Article 6 lawful bases: consent (for marketing and non-essential cookies), contractual necessity (for recruitment and training services), legal obligation (for employment law, health and safety, Access NI), and legitimate interest (for business development and service improvement).

    6. Data Retention

    CVs and candidate data: retained for 12 months unless you provide extended consent. Contact form submissions: retained for 2 years. Training records: retained for the duration required by awarding bodies and DfE NI (typically 5 years). Marketing consent: retained until withdrawn.

    7. Your Rights

    Under UK GDPR, you have the right to: access your personal data, rectify inaccurate data, erase your data ("right to be forgotten"), restrict processing, data portability, and object to processing.

    8. Exercising Your Rights

    To exercise any of these rights, please email our Data Protection Officer, Catriona Reid, at creid@rutledgegroup.co.uk. We will respond within 30 days.

    9. Cookies

    We use cookies in compliance with the UK Privacy and Electronic Communications Regulations (PECR). Strictly necessary cookies are always active. Analytics and marketing cookies require your explicit consent.

    10. Third Parties

    We never sell your personal data. We may share your data with: prospective employers (with your consent), the Department for the Economy (DfE NI), Access NI, awarding bodies, and our IT service providers.

    11. Complaints

    If you are unhappy with how we handle your data, you have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk.
